Basic Functions
The Medical Receptionist welcomes patients and visitors, in person or on the telephone. They are responsible for scheduling appointments, patient intake, and collecting co-pays and balances. They must provide excellent customer service and have the ability to multi-task. The Receptionist is also responsible for all medical records duties.
Responsibilities and Duties:
Maintain compliance with H.I.P.A.A., state, federal, and other agency rules and regulations.Process all medical records and legal documentation.Review incoming material, verify accuracy, and process or disburse accordingly.Book, coordinate and reschedule patient appointments. Relay necessary messages to staff.Greet patients and visitors in a prompt, friendly, courteous, and helpful manner.Retrieves medical record files and or legal documents from different sites and /or from the Hospital.Assist patients in completing forms and documents as needed.Check in patients, verify and update patient demographic information. Assist patients with ambulatory difficulties.Verify insurance eligibility prior to the visit.Collect appropriate fees or co-payments and balances due from the patient, and provide a receipt for each transaction at time of service.Answer telephones, screen calls, take messages, and provide information.Call patients as needed to remind them of appointments and of the necessary items they need to bring with them to their next appointment.Assist visitors and respond to routine requests for information.Maintain work area and lobby in neat and orderly manner.Must balance all Time of Service payments at the end of day.Oversee patients in the waiting area, coordinate patient movement, report problems or irregularities to supervisor.Attend meetings as required; along with enhancing professional growth and development through in-services, meetings and education programs.Comply with company policies and procedures, perform related work as required.Must maintain a professional appearance at all times.Must have the ability to handle stressful or emergency situations in a calm and effective manner.Float to other MFA locations when needed.Responsible for processing patient medical records.

Proper grammar, spelling, and computer knowledge are required.
Education/Training
Degree: High School diploma or Equivalent, Minimum 2 years of experience or equivalent job skills.
Experience: Prior work related experience, preferably one year in a medical office.
Decision-Making Required: This job is subject to standardized practices and procedures, general work instructions, and supervision of progress and results. Practices and procedures permit variation in work routine and supervision is periodic.
Problem-Solving Required: Requires repetitive thinking challenge which is the recall of specific learned things in stable and repetitive situations.
Interpersonal Relationships: Requires one to work with co-workers in a cooperative manner and to have effective personal and clear telephone communication with patients, clients and business entities.
Working Conditions: Work is performed inside a temperature-controlled office building 100% of the time in an open cubicle office environment. Must be able to work in a fast-paced environment. One must be able to deal effectively with emotional and ill clients. Work involves frequent contact with patients. Occasional evening or weekend work.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Frequent sitting in a confined position; occasional lifting, bending, stooping, walking or standing with some heavy lifting for short periods of time. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts.
It is necessary to view and type on computer screens for long periods. Manual dexterity must be sufficient to operate a keyboard, type 25wpm, operate a computer, fax machine, calculator and other necessary office equipment.
