Clinical Operations Director (Project Management)



The Clinical Operations Director at Ellie, now a part of Nystrom & Associates, is responsible for driving the growth and performance of their identified clinic to achieve Ellie's mission of "Compassionately transforming the culture of mental health by delivering creative solutions that make wellness accessible in every community." As the director, you're responsible for ensuring the success of the clinic(s) you oversee, ensuring clinicians have the tools and resources to do the job to the best of their ability, and overseeing comprehensive facilities management for the corporate office/clinic location to maintain a safe, functional, and welcoming environment that supports both clinical operations and corporate functions.

Compensation:
Total compensation will consist of the combination of a base salary range of $100,000 - $125,000 + a quarterly bonus potential. Salary is determined based on experience and qualifications.

Primary Responsibilities:
Responsible for ensuring that site-specific targets related to client census, client access, patient satisfaction, and employee satisfaction are met, and that client care is of the highest qualityManage and execute on a budget while forecasting future needs and identifying areas for further development or improvement of servicesRepresents Ellie in external relationships with the community, partnering with marketing and outreach to drive engagement efforts in clinic's surrounding communitiesDevelop (in partnership with leadership) and execute a strategic, multidisciplinary staffing plan to expand Ellie's capacity to meet the needs of the communities it serves by optimizing both the physical space of the clinic as well as the use of telehealth to achieve client access goalsPartner with talent acquisition to develop a strategic hiring plan aimed to recruit and maintain a diverse and well-rounded team of therapists who are equipped with the skills and training to meet the unique needs of the diverse populations we serveReview staff documentation metrics and trends to ensure timely documentation completion and best practices to meet compliance standardsParticipate in and contribute to weekly clinic director meeting, quarterly MN leadership meetings, and additional meetings and initiatives required for the roleProvide 1:1 consultation with all therapy staff to review productivity, caseload, and clinical documentation (minimum interval; licensed provider once monthly for an hour; non-licensed provider twice monthly)Oversee 245i Clinic Supervision and Consultation for clinic locations, including facilitation of a monthly case consultation meeting, ensure that all staff attend their monthly requirementsReviews and signs documentation of pre-licensed providers (i.e., treatment plans, diagnostic assessments, discharge summaries, etc.)Responsible for building a strong team culture and fostering inner and inter departmental/clinic collaborationOptimize use of physical office space by clinical staff to offer maximum availability around in-person appointment options for existing and new Ellie clients

Facilities Management & Corporate Office Operations:
Oversee comprehensive facilities management for the corporate office/clinic location, ensuring optimal functionality and safety for both clinical and administrative operationsManage office space utilization and scheduling, coordinating room bookings and space allocation for clinical sessions, meetings, and corporate functionsCollaborate with facilities staff and external vendors to coordinate building maintenance, repairs, and facility updates, ensuring minimal disruption to clinical services and corporate operationsOversee space planning initiatives and office layout optimization to maximize efficiency and support both clinical privacy requirements and corporate workflow needsManage facility-related budgets and expenses, including utilities, maintenance contracts, and capital improvementsOversee security systems, access management, and key/badge distribution for staff and authorized personnelEnsure environmental health and safety compliance, including proper waste disposal, infection control measures, and workplace safety standardsSupport corporate operations by maintaining common areas, conference rooms, and shared spaces that reflect Ellie's brand and cultureCoordinate with IT and other support services to ensure facility infrastructure supports both clinical technology needs and corporate systems

Additional Responsibilities:
Serve as primary point of contact for facility emergencies and coordinate appropriate response with internal teams and external servicesSupport special events, meetings, and corporate initiatives by ensuring appropriate facility setup and logistics coordinationOther duties as assigned

Knowledge, Skills, & Abilities:
Ability to perform, organize, and prioritize work independently. Strong communication skills, both verbally and in writing; clear, concise, and professional. Exhibit good judgement, honesty, integrity, responsibility, and punctuality. Ability to analyze issues and suggest or determine solutions. Excellent organizational skills and attention to detail. Ability to work well in a fast-paced, changing environment. Excellent time management skills with a proven ability to meet deadlines. Ability to work independently and collaboratively with other teams to achieve goals. Proficient in utilizing computers, typing, and navigating multiple applications/systems simultaneously. Strong working proficiency with Microsoft Office products including Outlook, Calendar, Teams Chat, Word, Excel, PowerPoint, etc. Proficient in using electronic health records (EHR) systems. Knowledgeable of Ellies internal processes and navigating Valant. Maintains strict confidentiality handling client information in compliance with HIPAA guidelines and Ellie policies. Demonstrates awareness, inclusivity, sensitivity, humility, and experience in working with individuals from diverse ethnic backgrounds, socioeconomic statuses, sexual orientations, gender identities, and other various aspects of culture

Education and Experience:
Education: Masters Degree or higher education in mental health discipline. License/Certification: Independently licensed with a Minnesota-issued clinical practice license (eg., LICSW, LMFT, LPCC, LP) Board-approved licensure supervisor (BBHT, BOSW, BMFT, BP) Experience: 2+ years experience leading a multi-disciplinary team of therapists.
