Supv Library Operations (Finance)



This position typically reports to a Librarian, Library Operations Manager or other appropriate administrator in support of customer service and library operations. This position requires specialized knowledge of library operations, general library organization skills and knowledge of policy and procedures as they pertain to the campus or specialized libraries. Library Operations Supervisors supervise a team of library staff members including Library Specialists, Library Assistants, Administrative Clerks, and OPS. They are responsible for training new hires, allocating work, assisting patrons with searches, interlibrary loans, reconciling incoming materials, and referring users to librarians where additional expertise is required. They may also perform duties in support of the overall operation of a campus library.

This is a fully onsite position, working Monday-Friday. There is some room to flex the daily hours, within the regular operating hours of the USF Health Libraries.This position requires a high school diploma and four years of experience in a customer service environment with at least two years of supervisory experience. Appropriate college coursework may substitute for the required experience.

Serves as main contact with Florida Virtual Campus (FLVC) regarding circulation functions of the Integrated Library System (ILS) and stays current with software changes and any modifications which may impact operations. Gathers and analyzes statistical data, prepares reports, and makes presentations as required. Assures continuous process improvement by staying current on new circulation practices in academic libraries, emerging technologies to improve services, and innovative uses of staff to improve service efficiency. Works with Library Specialist supervising student workers to maintain appropriate staffing levels at all USFHL Access Services sites, including night and weekend coverage. Oversees and participates in organization and maintenance of libraries physical collection (shelf reading, etc.)

Communication: Maintains access services (circulation) procedures manual. Evaluates circulation policies and work procedures to assure they are conducive to excellent customer service, make an efficient use of resources, and are in accordance with libraries' goals and objectives. Regularly communicates with supervisor and other USFHL personnel as needed. Communicates with other library operations at USF and elsewhere as needed. Participates on library teams and university committees as assigned by supervisor. Participates on statewide committees and maintains communication with Florida Virtual Campus (FLVC) as needed. Oversees the policies and procedures regarding the provision of circulation privileges, using Oracle & Banner to confirm active patron status.

Personnel: Supervises, evaluates, hires and trains permanent Access Services staff of the USFHL, including Library Specialists and Assistants.

Customer Service: Interprets policies as needed to facilitate customer transactions. Assures timely and appropriate response to patron inquiries. Resolves customer service complaints or issues in a timely and courteous manner. As backup, provides basic patron services at both USFHL sites. Assists patrons having issues logging into library resources from off-campus, taking the more difficult cases that front line staff are not able to handle. Collaborates closely with the USF Health Libraries Systems team and other library staff to resolve any issues related to patron access to online resources. Refers patrons to the USFHL Collection Management unit, USFHL Systems unit and USF IT when necessary. Communicates with faculty and students about changes to services via the USF Health Libraries web site or other practical means. As a member of the Shimberg Health Sciences Library's US Passport Application Acceptance site, reviews US passport applications for completeness and validity of supporting documentation. Prepares applications for delivery to US Passport Processing Centers.

ILL/Document Delivery: Assists and serves as backup to Manager, Library Operations regarding the USFHL interlibrary loan and document delivery operations, helping to assure timely and appropriate responses to patron inquiries. Stays current with ILL/DD procedures and software changes. Suggests procedural improvements to increase efficiency and improve outcomes.
