Job Description

   
Job Summary:
 
Incumbent in this position provides a variety of administrative and clerical support services to a business unit or department/function.  Work is performed under the general supervision and direction with clear instructions and pre-established guidelines to plan and accomplish tasks and assignments specific to the operating unit served.  May be involved in special projects or assigned to provide staff support in administering programs or processes.
RESPONSIBILITIES:   

  • Tasks and responsibilities include some or all of the following:  data entry, report generating, maintaining a filing system, document preparation, meeting coordination and/or facilitation, composing business correspondence, setting up appointments or meetings, making travel plans or arrangements, answering telephones, greeting visitors, research and information gathering etc.
  • Plans, organizes and coordinates activities relating to completion of a project or assignment.
  • Conducts research or analysis on records, reports or documents in accordance with established instructions and/or guidelines, e.g. expense reports, vendor invoices.
  • Prepares and compiles information for reports and/or presentations including charts, graphs and tables, to meet various company, safety, financial or industry-specific reporting requirements, utilizing or applying business software (such as Microsoft Office products and company-specific data capture software) to accomplish or enhance tasks.
  • Maintains proper records of departmental activities or work, orders supplies and equipment as needed, distributes mail when necessary.
  • May serve on various project teams or committees as appointed or required.
  • Performs other related duties as assigned.
PREFERRED QUALIFICATIONS:   
  • Two (2) to three (3) years of administrative office experience or clerical support work.
  • Excellent computer skills in the use of Microsoft Applications (Word, Excel, Power Point etc.)
  • Excellent communication skills with the ability to work effectively with all internal and external people.
  • Strong organizational and multi-tasking skills with attention to detail.
  • Demonstrated knowledge of general business practices and office procedures.
  • Understanding of basic accounting and financial concepts and, billing and invoicing procedures.
  • Ability to work with confidential information in a professional manner.
Education Requirements:
 
High school diploma, GED, or the equivalent is preferred.
Completion of business school or some college work is preferred. Apply
