Contract Administrator - Full Time, Michigan Area (Administrative)



Job Summary: 

 

Completing a variety of daily tasks in support of operations. Primary to the position is providing support to the Accounts Receivable function including daily billing and bid coordination. Manages the office area to ensure effective telephone and mail communications both internally and externally to internal and external customers.   

 

Job Location: This job may be based out of Detroit, Grand Rapids, or Kalamazoo Michigan.


Hours: Day Shift, Monday – Friday, 7am-430pm, Subject to Change Based on Company Needs

What We Do?
 

Our power sweeping solutions include sweeping parking lots, streets, and highways as well as construction, industrial, and special event sites. Our fleet uses the latest mechanical broom sweepers and regenerative air vacuum trucks. In addition to being the leader in professional power sweeping, SCA also provides state-of-the-art jet-vac services where we can perform collection, system preventive maintenance cleaning, and identify infrastructure issues before they occur.

Job Responsibilities:  

  • Create invoices for services rendered in accordance with work verified and priced at agreed upon work.  
  • Ensure invoices are accurate and that proper accounting procedures are followed to account for the receipt of payment for services completed by the location.  
  • Coordinate the site-specific reporting in accordance with FSO shared service processes. 
  • Support work on bid submission or contracted work for services to customers. 
  • Support local weekly payroll submission, if required. 
  • Process customer payments, research and resolve payment discrepancies, and adjust accounts as needed.
  • Review open balances through aging and other reports to determine past due accounts and communicate with customers in accordance with company dunning procedures.
  • Use analytics to review internal records, detect issues, resolve and communicate them in regards to payments and other collections based situation, including to 3rd party collection agencies.
  • Analyze driver routes to increase cost efficiency to deliver service options meeting customer requirements.
  • Monitor and review driver logs for error or violation of company procedures.
  • Provide dispatch instructions when drivers need assistance and monitor their progress.
  • Daily review of work order to coordinate resource deployment and equipment availability, as well as driver working hours.
  • Prepares weekly reports and maintain all Safety compliance documents and general documentation as required.
  • Answers the phone(s) and door.
  • Ships / FedEx / UPS, as required.

Job Requirements:  

  • Minimum 3 yrs. Office experience – computer and Microsoft Suite (excel) required.  
  • 1-year of A/R experience, preferred.  
  • 1 year of Dispatch experience, preferred.
  • Initiative.  
  • Time Management.  
  • Decision Making.  
  • Communication Proficiency.  
  • Organization and Analytical Skills.  
  • Operate a computer, keyboard, and phone. 
  • Ability to sit for prolonged length of time.
