Call Center Administrative Assistant (Finance)
Location: Across from the Chester County Airport (Right off the express 30 bypass)
Essential Duties and Responsibilities
Provide back-up support to receptionist with sending, receiving and distributing faxes for the company. Process quotes received in customer services department via fax, email, and mail. Files claims with shipping carriers within a timely manner and tracks their progress for resolution. Reports progress to CSM monthly. Schedules monthly department meetings and is responsible for taking minutes, drafting minutes for review by CSM, and then distributing. Responsible for mailing catalog requests received in customer service. Responsible for drafting the daily update email to distribute to the CS Team. Distributing after approval from CSM. Assisting with customer or vendor emails and/or voice mails. Relieve Switchboard Receptionist during lunch and as needed. Assist Call Center Manager and/or Supervisor with creating Call Center schedules (including but not limited to lunch & Saturday schedules). Assist Call Center Manager, Supervisor and/or Call Center team leaders with problem solving. Creation of communication to customer and/or vendors. As needed, take inbound customer calls and make outbound calls. Overall appearance & organization of the copier area. Provide backup support for delivery of internal mail to be distributed to various departments (received by Receptionist for distribution). Complies with all Witmer Public Safety Group Policies and Procedures. Performs any other duties or projects assigned by the management team.
