The Opportunity:

The role of the Accounts Payable Specialist is to provide financial, administrative, and clerical support by ensuring payments are completed and expenses are controlled. This is accomplished by receiving and processing payments and verifying and reconciling invoices according to established policies and procedures in an efficient, timely, and accurate manner.Responsibilities:

  • Reconciles vendor accounts by reconciling monthly statements and related transactions;
  • Charges expenses to accounts and cost centers by analyzing invoice/expense reports;
  • Maintains accounting ledgers by verifying and posting account transactions;
  • Pays vendors by monitoring discount opportunities, verifying compliance & scheduling and preparing payments;
  • Ensures credit is received for outstanding memos;
  • Issues stop-payments when needed;
  • Pays employees by receiving and verifying expense reports and requests for advances;
  • Disburses petty cash by recording entry and verifying documentation;
  • Reports use taxes by calculating requirements on paid invoices;
  • Other duties as assigned.

  • The employee must also have the ability to foster positive teamwork relationships with fellow employees.
  • Perform all basic arithmetic calculations to include percentages and discounts accurately and swiftly, streamline processes by evaluating efficiencies and making suggestions to the accounting team.
  • Update job knowledge by participating in educational opportunities and protect the organization's value by keeping information confidential. Such qualifications would normally be found in an individual with previous related accounting experience.
Physical Working Conditions:
  • While performing the duties of this job, the employee is frequently required to sit, hear, and speak to use the telephone and to communicate with individuals both inside and outside the organization.
  • Effectively communicate and follow oral and written instructions, and possess arm, hand, and finger dexterity to use when reaching, handling, grasping, or using a keyboard.
  • The employee is regularly required to sit, walk, and stand.
  • The employee may occasionally lift and/or move up to 20 pounds.
