Role:

The Prudential Communications team directs communications efforts to ensure the company's messages are aligned and delivered in accordance with Prudential's goals and policies. The organization is evolving as a dynamic ecosystem of subject matter and skill set experts who interact with leaders and colleagues at all levels across Prudential. We are expanding our ecosystem and operations capabilities and looking for professionals to better align how we approach the work of communications, ensure we are maximizing the potential of our talent and technology, and to provide consistently excellent service to our colleagues and business partners.

Reporting to the Director, Operations and Financial Management for Prudential Communications, this role will be responsible for designing and project managing wide-ranging initiatives aimed at process improvements and strengthening the operational rigor, efficiency, and effectiveness of Prudential Communications.

In this capacity, the manager will develop fundamental operational processes, and financial governance and discipline efforts that support the team's goal to drive differentiated performance for Prudential Communications and the company.  

For this role to be successful, this person must have skills to build relationships, solve problems, start new projects independently, and support the implementation of new technologies and approaches to drive efficiencies. Projects will require the individual to obtain necessary project approvals and communicate plans to relevant stakeholders and management. The role will be focused on providing operational support, with the goal of providing excellent service and support for our teams to enable them to do their best work.

The Manager, Operations and Financial Management will be responsible for:

  • Supporting and managing aspects of operations efforts focused on vendor management, financial management, IT and supply procurement and information security and access to ensure the function is operating efficiently.
  • Acting as the expense management expert, managing department billing processes to ensure expenses and invoices are processed timely and accurately, including facilitation of wire payments across both domestic and international vendors.
  • Developing and coordinating vendor management reviews with the head of CEE and team.
  • Supporting financial reporting for the department, including year-end accruals, tracking and accuracy of project charges and monthly/quarterly expenses.
  • Identifying and driving opportunities for operational improvements
  • Creating new vendor account profiles and purchase orders, tracking/managing expenses, negotiating contracts with legal and/or control partners and reconciliation of billing disputes, as well as offboarding vendors from Prudential systems upon contract expiration.
  • Fulfilling security requests (ISAMS) for access to enterprise tools and services.
  • Managing departmental IT Procurement needs: purchasing software/hardware requests.
  • Managing company Archives, physical resources, and incoming requests.
  • Managing subscriptions and sponsorships, as well as logo requests and reprints.
  • Developing a digital merchandising approach to promote communications best practices and ensure our objectives, learnings and outcomes are communicated effectively.
  • Coordinating and promotion of department education sessions and Prudential Communications' Teams channel engagement to advance adoption of operations-led governance and administration efforts and programs.

Skills:

  • 5-7 years professional experience in a Communications and/or Operations function.
  • Demonstrated project management experience, successfully managing multiple projects at once.
  • Ability to think strategically while maintaining rigorous attention to detail.
  • Self-motivated; demonstrates initiative and can anticipate issues, provide realistic solutions, employ sound judgment, and make timely decisions.
  • Clear and concise communications skills, including writing.
  • Ability to work independently and collaboratively to produce results.
  • Proficient in PowerPoint, Excel and Word skills; Workfront a plus.
  • Innovative thinker and problem solver with a passion for learning.

Hybrid work arrangement with some time spent in the Newark, NJ location.
