POSITION SUMMARY:
The Public Engagement Coordinator position provides administrative and editorial support to patient engagement programs, publications, and initiatives.
ESSENTIAL ACCOUNTABILITIES:
Audio Content
• Schedules audio interviews in adherence to production schedule deadlines
• Facilitates recordings of audio interviews and general audio product recording
• Organizes editorial and production meetings
• Coordinates the production of editorial schedules and reporting materials
• Writes and proofreads materials relating to audio content for internal and public audiences
• Monitors and requests updates to the audio website as needed
Editorial Assistance
• Assists with the copyediting and proofing of patient education and public engagement content
• Facilitates physician editor content and proof reviews
• Coordinates schedule, list requests, and deployment reviews of sponsored emails
Administrative Assistance
• Coordinates meeting and conference call logistics including agendas and distributing meeting minutes
• Assists in the planning and execution of event planning
• Assists in developing and monitoring event budgets and logistic plans
• Assists Executive Editor in developing and monitoring budgets
• Oversees internal team SharePoint sites and support to team members
• Assists with the preparation of executive reports for editorial boards, committees, and Board of
Directors
• Coordinates print and electronic story submission process
• Assists Executive Editor on projects, as requested

QUALIFICATIONS:
Education:
• Bachelor's degree in English, Communications or related field is required
• Equivalent combination of additional experience beyond the minimum requirement and/or education may be substituted for degree requirement
Experience:
• Minimum of 3 years of experience in administrative support is required
• Experience in providing administrative support with an emphasis on multitasking is required
• Experience in event planning is preferred
• Experience in fast-paced publishing environment, as well as copyediting and proofreading is preferred
• Experience working in the health care industry or membership association is preferred
• Experience in documenting standard operating procedures/instructions is preferred
• Ability to read and write in Spanish is preferred
Additional Knowledge, Skills and Abilities:
• Excellent verbal and written communication skills are required
• Demonstrated ability to handle multiple projects simultaneously is required
• Demonstrated exceptional organizational skills and attention to detail are required
• Demonstrated strong people skills are required
• Demonstrated analytical and problem-solving skills are required
• Intermediate Word and Excel skills are required
• Work in PowerPoint and SharePoint is preferred
ADDITIONAL POSITION INFORMATION:
FLSA Classification: Non-exempt
Travel Requirements: Occasional travel required – approximately 5%.
Location: Minneapolis, MN and is identified as hybrid (required to work in the office with the ability to work remotely part of the week)
Schedule: Occasional evening and weekend required
Physical Requirements: Standard office setting, with ability to sit for long periods of time, occasional use of stairs; regular use of computer and office equipment, lifting up to 10 lbs.
