Delivery Customer Care Specialist (Finance)



Position Description

Receive and process incoming orders for materials to be delivered. Duties include informing customers of receipt, shipping dates, and shipping delays.


Position Essential Duties and Responsibilities
Confer with customers by telephone to provide information about products or services, take or enter orders or cancel orders. Inform customers of order information, shipping dates, and any anticipated delays.Call customers regarding updated details/discrepancies on AM/PM delivery time frames and any additional information needed for abnormally large orders.Verify customer and order information for correctness, checking it against previously obtained information as necessary. Check to ensure that appropriate changes were made to resolve customers problems.Review orders for completeness according to reporting procedures and forward incomplete orders for processing. Check inventory records to determine availability of requested merchandise.Direct specified departments or units to prepare and ship orders to designated locations. Confer with production, sales, shipping, or warehouse to trace shipments.Notify departments when supplies of specific items are low, or when orders would deplete available supplies. Research any orders awaiting for stock or to be determined. Coordinate with dispatch, sales and millwork shop on timeframe for delivery. Update customer of delivery date if different from originally scheduled date.Inform dispatch, sales staff, and customer of anything in todays orders not scheduled. Review back orders created for today. Provide information to sales staff and customer on when the material will be received.Release back orders when material is available. Check for open purchase orders and place on journey board on the requested pick up date.Scan all returned delivery tickets. Import scanned tickets into the millwork file. Inspect the tickets for completion. Audit to ensure delivery pictures are thorough and successfully uploaded to Biztrack. Recommend improvements in products, packaging, shipping, service, or billing methods and procedures to prevent future problems.Assist delivery personnel with information such as product information, missing materials, unfamiliar addresses, access information, contact info, etc. Keep delivery personnel updated on contacts and address changes that can occur throughout the day.Meets with dock personnel regarding status on loads/product shorts. Assist delivery personnel at the window counter as needed and directing them properly for shipping/receiving information.Perform other duties and responsibilities as required and assigned.


Education/Experience
High School Diploma/GED or equivalent combination of education and experience will be considered1-year in customer service related position preferred1- year in purchasing or inventory management preferredExperience with computers, emails and other office machines (fax, printers and copiers)Building materials knowledge preferred
Other Requirements
Must pass pre-employment drug screen and physicalWork morning/evening hours during the week, required weekends and overtimeMaintenance of regular attendance
Knowledge, Skills and Abilities
Excellent Verbal & Written Communication along with basic data entry/keyboard skills.Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.Knowledge of principles and processes for providing customer service. This includes customer needs and meeting quality standards for services.Ability to concentrate and attend to detail amidst busy work environmentAbility to work as an individual and as a team to meet productions goals.Willing to obtain other training if deemed necessary in performance of responsibilities and continuing education.
Physical Requirements and Working Conditions
Normal office conditions apply. Employee must have clear, close vision for reading and computer work. Must be able to sit, stand, walk, balance, stoop, grasp, talk, hear and operate computer keyboard. Able to spend extended periods on their feet. Job may require reaching at or above shoulder level and below waist. Will occasionally lift/push/pull up to 75 pounds.At times, jobsite or warehouse visits may be required, subject to temperature variations, hazardous chemicals, mechanical parts, increased noise levels and dust.
