Mail Operations Rep (Finance)



Job Description:

Efficiently process all incoming mail from USPS, UPS, FedEx, and courier services, including sorting, sorting, distribution and accurate logging of received items. Prepare and process outgoing domestic and international mail in compliance with USPS regulations; maintain records and tracking for interoffice deliveries across Capitol Federal. Manage returned mail, ensuring accurate documentation and appropriate follow-up actions. Perform manual postings of deposits, loan payments, and various miscellaneous receipts received via mail. Support back-office operations through clerical duties, bookkeeping tasks and check imaging processes. Deliver front-line customer service by performing teller functions and assisting with Safe Deposit Box services.

Essential Duties & Responsibilities

  • Receives, opens, sorts, records, and distributes all incoming, outgoing, interoffice, and returned mail both domestic and international delivered by various couriers, ensuring proper documentation and security through tracking software.
  • Logs, tracks, and delivers incoming packages from UPS, FedEx, Amazon, and other carriers using the Trax tracking system.
  • Manages in-house special mailings utilizing a range of postal equipment and systems.
  • Accurately records the receipt of cash and checks; posts retail deposits, loan payments, and miscellaneous receipts received by mail.
  • Responsible for daily Cash Box balancing.
  • Facilitates the access, opening, and closing of Safe Deposit Boxes and processes ownership changes, ensuring all documentation is complete, accurate, and securely maintained.
  • Coordinates and performs foreign check processing for all branch locations.
  • Perform other duties as assigned.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Must comply with current applicable laws, regulations and bank policies and procedures. Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.

Experience

One (1) year of experience working in an office setting preferred.

Education/Certifications/Licenses

A high school degree or equivalent.

Skills

Strong attention to detail as well as proven organizational skills. Ability to prioritize and work effectively under time constraints. Effective team player.
