BioSciences at Rice is home to undergraduate and doctoral degree programs in Biochemistry & Cell Biology and Ecology & Evolutionary Biology. We are investigating fundamental properties of living organisms and their impacts on the future quality of life on Earth.

The Faculty Coordinator plays a vital role in supporting the academic and operational mission of the department by providing high-level administrative support with a strong emphasis on faculty affairs. This position is responsible for coordinating key faculty processes, including recruitment, searches, promotion and tenure, and faculty data management. The Faculty Coordinator ensures accurate and timely maintenance of faculty records, oversees departmental reporting related to faculty appointments and awards, and manages a variety of academic and departmental events, including faculty seminars.

Working closely with the Department Chair and Executive Administrator, the Faculty Coordinator also provides financial and operational support by monitoring expenditures, managing travel and logistics for visiting faculty, and maintaining departmental compliance with university policies and procedures.

Ideal Candidate Statement:
The role requires exceptional attention to detail, strong organizational and communication skills, and the ability to interact effectively with faculty, staff, students, and external stakeholders across all levels of the university. Ideal candidates will have experience in an academic or administrative setting, demonstrate proficiency in Microsoft Office and Google Calendar, and be capable of managing multiple priorities with accuracy and professionalism. Experience with faculty lifecycle management systems such as Interfolio is a plus, particularly in coordinating faculty appointments, reviews, and promotion and tenure processes.

Workplace Requirements:
This position may be offered as a hybrid role after the probationary period, combining both in-office and remote work to provide flexibility and support collaboration. Per Rice policy 440 , work arrangements may be subject to change.

*Exempt (salaried) positions under FLSA are not eligible for overtime.

Minimum Requirements:

  • Bachelor's degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year-for-year basis may be substituted
  • 2 years of related experience working in an office setting
    • In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted

Skills:
  • Advanced knowledge of word processing, spreadsheet, email, and database software programs to complete work assignments
  • Advanced data reporting skills
  • Strong listening, verbal, and written communication skills
  • Intermediate problem-solving and critical thinking skills
  • Ability to work independently, owning responsibility for timely completion of work
  • Organizational skills with the ability to manage multiple and sometimes competing deadlines
  • Customer service oriented

Preferences:
  • Experience at a college or university
  • Experience with faculty lifecycle management systems such as Interfolio
  • Experience with Oracle ERP system

Essential Functions:
  • Oversees faculty search, recruitment, and the promotion and tenure process, including coordination through Interfolio and ensuring adherence to institutional policies and deadlines
  • Coordinates the scheduling and logistical planning of departmental seminars, faculty meetings, hosted lunches, and academic events, including but not limited to commencement and other departmental events
  • Coordinates travel arrangements, itineraries, and on-campus agendas for visiting faculty
  • Interprets, implements, and ensures compliance with policies and procedures and recommends changes to departmental procedures and processes
  • Reviews and monitors trends to provide recommendations to streamline functions in the department
  • Monitors and tracks budgets and expenditures, reallocates funds, and processes financial transactions
  • Represents the department within the school, across university offices, and with external visitors and faculty
  • Creates communications and outreach plans to include relationship development, communications, compliance, and event management
  • Under general direction of the Chair and Executive Administrator, provides financial and accounting support, including reconciling faculty expense reports and maintaining accurate financial records
  • Assists with onboarding new BioSciences staff, including coordinating access to office equipment and building access
  • Assists with expense corrections as needed for department corrections
  • Serves as backup for biospurch@rice.edu email account as needed
  • Lends support to faculty, programs, administrators, students, and staff by managing day-to-day operations of the Department of BioSciences
  • Performs all other duties as assigned

Additional Functions:
  • Supports the Chair in coordinating faculty appointments and renewals, ensuring compliance with university policies and procedures
